Meeting notes template with action items

A meeting notes template built around action items: an agenda before, decisions during, owners and dates after — so nothing agreed in the room gets lost.

Meeting notes are worth taking for one reason: the action items. This template keeps the notes short and the actions explicit — every one gets an owner and a date before the meeting ends.

Afterwards, paste the actions into Done, or give your agent the raw notes and let it turn them into tasks.

What you type is saved in this browser only. Nothing is sent anywhere.

Use it in Done

  1. Press Copy and open Done. The template goes onto your clipboard as a list.
  2. In Done, open Settings → Data → Import and choose Paste a list.
  3. Paste it, check the preview and import. The heading becomes a project called “Meeting actions”, and each line becomes a task.

How to use this template

  1. Before: write the goal and the agenda, and send them out.
  2. During: note each decision as it's made, and each action item with an owner and a date.
  3. After: send a recap and turn the action items into tasks the same day.

Hand it to your agent

Connect Done to Claude, ChatGPT or any MCP client (it takes a minute), then paste this prompt. Your agent works through Done's own tools, under the same approval gate as everything else.

Fill in the parts in [brackets] before you send it.

Work only through the Done MCP connector, on my Done account.

Here are my notes from a meeting:
[paste your notes]

1. Pull out every action item: what needs doing, who owns it and by when. Skip anything that was only discussion.
2. Call list_tasks and list_projects, so you don't duplicate anything already on my board and you know which project these belong in.
3. For each action item that's mine, call create_task with a clear title, the project, and a due_date if one was agreed. Put who asked for it and any context in notes.
4. For each action item someone else owns, create one task for me to confirm it with them, with their name in the title.

End with a short recap I can paste back to the attendees: the decisions, then the action items with owners and dates.
